PROCEDURES • 15 MIN READ

Year-end closing ensures your books are accurate and ready for tax season. Follow this comprehensive checklist.

Year-End Closing Checklist

1. Reconcile All Accounts

Reconcile all bank accounts, credit cards, and loan accounts. Ensure every transaction in your accounting system matches your bank statements. Investigate and resolve any discrepancies.

2. Review Accounts Receivable

Review all outstanding invoices. Follow up on overdue payments and write off any uncollectible debts. Update your allowance for doubtful accounts to reflect realistic collection expectations.

3. Review Accounts Payable

Verify all outstanding bills and ensure they're recorded in the correct period. Pay any bills due before year-end to maximize tax deductions. Confirm vendor statements match your records.

4. Review Inventory

Conduct a physical inventory count and adjust your books accordingly. Write off obsolete or damaged inventory. Ensure your inventory valuation method is consistent with prior years.

5. Review Fixed Assets

Update your fixed asset register. Record any new purchases and disposals. Calculate and record depreciation for the year. Verify that all assets still exist and are in use.

6. Accrue Expenses

Record any expenses incurred but not yet paid, such as utilities, rent, or employee bonuses. This ensures expenses are matched to the correct accounting period.

7. Review Prepaid Expenses

Adjust prepaid expenses like insurance, rent, or subscriptions. Ensure only the portion that applies to the current year is expensed, and the rest is carried forward.

8. Review Loans and Debt

Verify loan balances match lender statements. Ensure interest expense is properly recorded. Reclassify the current portion of long-term debt.

9. Prepare Financial Statements

Generate your year-end financial statements including the balance sheet, income statement, and cash flow statement. Review them for accuracy and reasonableness.

10. Backup Your Data

Create a complete backup of your accounting system. Store it securely in multiple locations. This protects your financial data and provides a reference point for the new year.
